1. Who we are
This policy explains how Voltpro Electrical Pty Ltd (ABN 75 684 426 640), trading as Voltpro Electrical, handles personal information when you use our website, make an enquiry or engage us for electrical work.
Our website and enquiry tools are operated with support from AI Sunshine Coast. Voltpro manages your customer relationship; authorised AI Sunshine Coast staff can access relevant records to operate and support those tools.
2. Information we collect
- Enquiry details: your name, phone number, email address, suburb or postcode, the work you describe and answers you give in our quote form.
- Service records: a job address, correspondence, appointment details, work history and billing information you provide when arranging or receiving our services.
- Chat messages: the questions and other information you choose to enter into the website’s AI chat.
- Job information and photographs: records our team adds about work, including photographs, descriptions and publication permissions.
- Technical records: connection information such as IP address and browser details, request and error logs, and records used to prevent misuse or check delivery.
We collect information directly from you, through our website and service providers, or from someone authorised to arrange work on your behalf. Please provide another person’s details only when you are authorised to do so.
You can browse without submitting an enquiry. If you do not provide contact or job details, we may be unable to respond or arrange the work. The website does not take card payments or accept photo attachments in its quote form. Please do not enter card numbers, passwords, identity documents or sensitive personal information into forms or chat.
3. How we use information
We use relevant information to respond to enquiries, understand and quote work, arrange appointments, provide electrical services, maintain service and billing records, and deal with questions or complaints. We also use operational records to check that enquiries arrive, prevent abuse and investigate problems.
Sending an enquiry creates a record for our team. It does not confirm a booking, a price or a response time. We may contact you about your enquiry using the details and contact preferences you provide.
4. Using our AI chat
“Ask Voltpro” is an AI assistant, not a person. When you send a question, relevant conversation messages are sent through AI Sunshine Coast to Anthropic to prepare an answer using approved Voltpro website information.
The chat cannot book a job, confirm a quote or provide emergency assistance. Asking a question does not by itself ask our team to contact you. If you choose “Send an enquiry”, the contact details and enquiry you submit are saved separately for follow-up.
Conversation messages are held in the page while you use chat. The chat service also records usage information, and its providers may retain processing or security records. Closing the page is not a request to delete information held by a provider or an enquiry you have submitted.
You can use the contact form or call us instead. AI answers can be wrong; our team confirms advice specific to your property, pricing and availability.
5. Photographs and completed work
Our team may record work details and photographs as part of a job. In the website publishing system, original evidence and drafts are kept separate from approved public content. A team member must approve the material selected for publication.
Submitting an enquiry does not give us permission to publish your identity, private address or photographs of your property. Identifiable customer material needs the relevant permission before it is used to promote our work. Please contact us if a published project raises a privacy concern or you wish to withdraw permission.
Removing material from our website does not erase copies already downloaded, shared or cached by other people or services.
6. Who receives information
Information is available to people who need it to handle your enquiry, deliver work or support the service. This can include authorised Voltpro staff, AI Sunshine Coast and service providers acting for us.
- Vercel hosts the website and handles requests and operational logs.
- Supabase stores enquiry records and private job evidence for the business platform.
- Sanity manages website content and associated media.
- Anthropic processes AI chat requests and assists with drafting job descriptions. AssemblyAI transcribes voice notes when our team uses dictation.
- Resend delivers enquiry notification emails through AI Sunshine Coast. Our nominated recipients may also retain those emails in their business inboxes.
We may also disclose relevant information to advisers, insurers or authorities where necessary to handle a claim, meet a legal obligation or respond to a lawful request.
AI Sunshine Coast describes its platform practices in its Privacy Policy. External websites you choose to visit have their own privacy arrangements.
7. Storage and overseas processing
The platform’s primary enquiry database and private job-file storage are configured in Sydney, Australia. Hosting, AI processing, email and content services can also process information overseas, including in the United States and, for Sanity’s hosting, Belgium. Support providers and their suppliers may operate in other countries.
Information does not necessarily remain in Australia just because Voltpro is an Australian business. Contact us if you need details about a particular provider or processing location.
8. Security and retention
The website platform uses encrypted web connections, restricted staff access, business-level access controls and private storage for original job evidence. These measures reduce risk, but no online system can guarantee complete security.
Enquiries, correspondence, service records and publication approvals do not all have an automatic deletion date. Records may remain while needed to handle your request, provide services, meet record-keeping obligations or resolve a dispute. Temporary upload files have separate cleanup rules; that does not delete the underlying job or enquiry.
You can ask us to delete information that is no longer needed. We will consider the request and explain any information we need to retain. Backups, provider records and notification emails may have different retention periods.
10. Contact preferences and marketing
A response about work you asked us to quote is different from an ongoing marketing subscription. Submitting an enquiry is not a blanket agreement to unrelated promotional contact.
If we send promotional communications, you can use the unsubscribe instructions or contact us to stop them. We may still need to send essential messages about work you have arranged. The website’s AI chat does not itself enable an automated SMS or voice conversation.
11. Access, corrections and complaints
You can ask what personal information we hold about you, request a correction, ask for deletion, or raise a privacy complaint using the contact details below. Please describe your request and provide enough information to locate the relevant record. We may need to verify your identity before providing or changing personal information.
We aim to respond within 30 days. If a request needs more time, we will explain why and provide an update. We will explain any decision to decline a request, including any legal or record-keeping reason.
If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner for guidance on whether it can consider your complaint. Nothing in this policy limits rights you have under applicable law.

12. Updates to this policy
